Terms and Conditions

Our fees include full online access to speaker biographies, abstracts and presentations along with supporting material and resources.  On-site attendance includes lunch, coffee, tea and other refreshments.

Virtual Group Bookings: A delegate place must be booked for every person attending even if you are taking part together from one Zoom account.  We ask for cameras to be turned on and reserve the right to remove accounts if there appears to be unregistered delegates in attendance. 

 

Confirmation of your booking

We will confirm your booking by email. If you prefer confirmation by post please let us know by calling us or sending an email.

Please contact us if you have not received confirmation in writing 7-10 days after submitting your booking form.

If you have paid by credit card you will receive a receipt with your booking confirmation. 

If you have requested an invoice this will be sent with your booking confirmation. Invoices must be paid within 30 days of the invoice date.

For virtual attendance you will receive full access details one week prior to the event. 

Healthcare Conferences UK, Social Care Conferences UK and Education Conferences UK reserve the right to make changes to speakers and programmes without prior notice.

Hotel accommodation

This is not included. An accommodation booking form, listing a range of hotels close to the venue, will be included with the confirmation of your place at the conference.

Directions and a map for the venue will also be included with your confirmation.

Substitutions

Substitute delegates are welcome at anytime. Just let us know who they are, and who they are replacing: call us or email.

Cancellations

A refund, less a 20% administration fee, will be paid if a cancellation is received, in writing, at least four weeks before a conference or masterclass. We regret that cancellations after this time cannot be refunded, and that a refund for failure to attend a conference cannot be made.

Credit card refunds will only be made to the card in which the original payment was taken.

Outstanding invoices will still require payment after a cancellation less than four weeks before a conference, for cancellations made four weeks before; a credit note will be issued for 80% of the amount and the remaining balance we still require payment under the terms of the original invoice. 

On completion of the online booking form or signing of the paper booking form the delegate and their supporting organisation are liable for the fees for the conference subject to our cancellation terms. Should the individual delegate leave the organisation the responsibility for payment is with the employing organisation at the time the booking form was signed.

In the event that we need to change the date due to circumstances beyond our control, you will be offered a transfer to the new date. If you are unable to attend on the alternative date, you will be able to rebook for an alternative event, keep the credit or claim a refund. 

If the venue cannot open due to government restrictions the conference will proceed virtually.

For hybrid conferences, virtual or onsite attendance is optional and we are happy to be flexible and switch attendance on request up to one week before the conference.

eLearning Cancellations: These terms apply to eLearning cancellations where a full refund will be given for cancellations made within 14 days of purchase; we will not be able to refund after this time. If the course is accessed within 14 days of purchase, the right to cancellation and refund is lost.

Special Offers and Discounts

Discounts are not valid in conjunction with any other offer from Healthcare Conferences UK or the HC-UK Conferences group (including the credit card discount) and are for new bookings only, we are unable to offer refunds on booked places. Bookings are subject to payments made, strictly 30 days from date of invoice. Promotional discount codes cannot be used for the purchase of conference handbooks/material. Discounts are not available to commercial organisations.
